**Job Overview**: As a Receptionist, you will serve as the first point of contact for our organization, providing exceptional customer service to visitors, clients, and employees. You will handle various administrative tasks and assist with office coordination to support the efficient functioning of our workplace.
**Key Responsibilities**:
- **Front Desk Operations**:
- Greet visitors, clients, and employees in a friendly and professional manner.
- Answer phone calls, route calls to appropriate individuals, and take messages as needed.
- Manage the reception area, including maintaining cleanliness and organization.
- Ensure timely and accurate sign-in and sign-out procedures for visitors.
- **Visitor Assistance**:
- Assist visitors with inquiries, provide information about the company, and direct them to the appropriate personnel or departments.
- Coordinate visitor access and issue visitor badges or passes as required.
- Handle incoming and outgoing mail, packages, and deliveries, including sorting and distributing mail to the appropriate recipients.
- **Administrative Support**:
- Provide administrative support to various departments, including typing, filing, photocopying, and scanning documents.
- Assist with scheduling appointments, meetings, and conference room reservations.
- Maintain office supplies inventory and place orders as needed.
- Assist with data entry, record keeping, and maintaining databases.
- **Communication Coordination**:
- Relay messages and information accurately and promptly to the relevant parties.
- **Office Coordination**:
- Collaborate with other administrative staff to ensure smooth office operations.
- Assist with coordinating office events, meetings, and conferences.
- Support office safety and security measures by monitoring visitor access and following security protocols.
- Perform other duties as assigned to support the overall functioning of the office.
**Qualifications**:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Proven experience as a receptionist or in a customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel )
- Excellent communication and interpersonal skills, with a polite and professional demeanor.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Customer service-oriented approach and a positive attitude.
