The Hospital Administrative Coordinator is vital for ensuring that the administrative aspects of the hospital operate efficiently and effectively. This role involves overseeing administrative processes, supporting hospital departments, managing staff, and ensuring compliance with healthcare regulations.
**Key Responsibilities**:
- Provide administrative assistance to various departments, including scheduling, budget management, and internal communications.
- Organize and oversee administrative staff activities, ensuring that all tasks are completed in a timely manner and meet quality standards.
**Document Management**:
- Manage the creation, storage, and retrieval of hospital documents and records while ensuring compliance with privacy laws and regulations.
- Develop and implement policies for document handling and archiving, improving efficiency and accessibility.
**Financial Administration**:
- Assist in budget preparation and expense management processes.
- Monitor expenditures and report financial discrepancies to the department heads.
**Human Resources Support**:
- Assist in the recruitment process by posting job ads, organizing resumes, scheduling interviews, and initiating the onboarding process for new hires.
- Maintain employee records and assist with payroll processing.
**Compliance and Regulations**:
- Ensure all hospital operations comply with healthcare regulations and standards.
- Stay updated on new laws and regulations impacting hospital operations and coordinate with the compliance officer to implement necessary changes.
**Meetings and Coordination**:
- Coordinate meetings, including scheduling, sending reminders, and organizing necessary technical support.
- Prepare meeting agendas, take minutes, and distribute them among participants.
**Qualifications**:
- **Education**: Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
- **Experience**: At least 3 years of experience in an administrative role, preferably within a healthcare or hospital environment.
**Skills**:
- Strong knowledge of healthcare systems and hospital management software.
- Excellent organizational, leadership, and decision-making skills.
- Proficient in MS Office, with a focus on Excel and PowerPoint.
- Ability to work independently and manage various projects with overlapping tasks and varying deadlines.
**Working Conditions**:
- Office environment within the hospital.
- May require flexibility in hours, including occasionally covering shifts outside of standard business hours.
**Job Types**: Full-time, Permanent
Pay: ₹10,000.00 - ₹25,000.00 per month
