**Role Summary**:
The Sampling Coordinator manages and monitors all activities related to product and buyer sample development. This role ensures samples are produced in the correct sequence, meet approved specifications, are tested for feasibility, and are dispatched on time. Acting as a bridge between design and production, the Sampling Coordinator ensures coordination, documentation, and control at every stage of the sampling lifecycle.

**Key Responsibilities**:
**Sampling Planning & Workflow Coordination**
- Receive new sample requests and record all details in the sampling tracker.
- Create daily and weekly sampling schedules based on production feasibility.
- Allocate samples to relevant looms, dyeing, or tufting units.
- Monitor availability of yarn, backing, and other raw materials with Purchase.

**Sample Execution & Departmental Alignment**
- Coordinate with R&D for technical approvals and material setup.
- Supervise sample execution according to approved CADs and production parameters.
- Liaise with QA for mid-stage and final sample inspections.
- Communicate progress updates to Merchandising and R&D Heads.

**Quality Verification & Buyer Readiness**
- Verify dimensions, color matching, texture, and finishing before submission.
- Coordinate final wash, trimming, or stretching per approvals.
- Tag and label samples correctly and ensure dispatch readiness.
- Ensure zero quality deviation before buyer or internal presentation.

**Tracking, Documentation & Reporting**
- Maintain complete sampling tracker from request to dispatch.
- Record all sample feedback, approvals, or rework instructions.
- Prepare daily status reports and archive photos and physical swatches.
- Support data entry for sampling in ERP or shared tracker systems.

**Continuous Process Improvement**
- Analyze recurring delays or rework cases and recommend improvements.
- Support development of sampling SOPs and checklists for consistency.
- Ensure clear communication flow among departments involved in sampling.
- Document learnings and suggest efficiency improvements in scheduling or loom allocation.

- SOPs related to R&D Sampling, Buyer Sampling, Order Management, and QA.
- Product specifications, yarn types, and sampling processes.
- QA and finishing checkpoints for sample approval.
- ERP/tracker operation for sampling updates.
