We are currently seeking a highly organized and efficient Receptionist/Admin Executive to join our team at Variety Vacations. As a Receptionist/Admin Executive, you will be the first point of contact for visitors and callers, providing excellent customer service and administrative support to ensure the smooth operation of our office.
**Responsibilities**:
Greet and welcome visitors, clients, and employees in a friendly and professional manner.
Answer incoming phone calls, transfer them to the appropriate departments, and take accurate messages when necessary.
Schedule appointments, meetings, and conference room bookings, coordinating logistics and sending out invitations or reminders.
Provide administrative support, including typing, data entry, photocopying, scanning, and filing documents.
Assist in the preparation of reports, presentations, and other materials as needed.
Maintain office supplies and ensure inventory is well-stocked, including stationery, beverages, and other necessities.
Coordinate repairs and maintenance for office equipment.
Manage visitor badges, sign-in procedures, and security protocols.
Assist employees or clients in making travel arrangements, such as flight bookings, hotel reservations, and transportation.
Maintain and update records, databases, and contact lists.
Collaborate with different departments to provide administrative support and facilitate effective communication.
Uphold professionalism and maintain confidentiality of sensitive information.
**Requirements**:
High school diploma or equivalent; additional certifications in office administration or related field is a plus.
Proven experience as a receptionist, administrative assistant, or similar role.
Excellent verbal and written communication skills.
Strong organizational and time management skills, with the ability to prioritize tasks and work under pressure.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Attention to detail and accuracy in handling administrative tasks.
Exceptional customer service skills and a friendly, professional demeanor.
Ability to multitask and adapt to changing priorities.
Strong problem-solving skills and a proactive approach to tasks.
Discretion and confidentiality in handling sensitive information.
**Salary**: ₹12,000.00 - ₹15,000.00 per month
