**Duties & Responsibilities**
- **Administrative Tasks**:
- Manage dynamic calendars of appointments.
- Complete expense reports.
- Compose and prepare correspondence.
- Arrange itineraries and agendas.
- Compile meeting documentation.
- **Inquiries Management**:
- Assess inquiries directed to the executive office.
- Determine the appropriate course of action.
- Delegate tasks to the appropriate individual.
- **Meeting Coordination**:
- Schedule meetings and draft agendas.
- Develop, compile, and distribute presentation materials.
- Record meeting minutes on behalf of the MD.
- **Project Evaluation**:
- Evaluate and summarize projects/assignments.
- Aid in making sound business decisions.
- **Communication Bridge**:
- Facilitate smooth communication between the executive office and other departments.
- Demonstrate leadership and empathy to foster credibility, trust, and support with staff.
- **Written Communications**:
- Edit and complete drafts for written communications to stakeholders.
- **Issue Management**:
- Research, prioritize, and follow up on incoming issues and concerns addressed to the MD, including sensitive and confidential matters.
- **Request Prioritization**:
- Prioritize conflicting requests and handle matters proactively within scope.
- **Report and Presentation Maintenance**:
- Create, edit, and maintain communications such as reports and presentations.
- **Exercise Discretion**:
- Use discretion and judgment for significant matters affecting management.
- **Technical Skills**:
- Tech-savvy with excellent computer skills.
- Advanced proficiency in Microsoft Office and VC tools.
- **Organizational Skills**:
- Strong organizational and problem-solving skills.
- Impeccable multi-tasking abilities.
- **Professional Demeanor**:
- Friendly and professional demeanor.
- Ability to communicate clearly and focus on results.
