ADMINISTRATIVE ASSISTANT

CarbonCraft is seeking a detail-oriented and proactive Administrative Assistant with expertise in accounts, along with the ability to assist in human resources and supply chain operations. This role requires strong organizational skills to manage financial records, support HR processes, and coordinate procurement activities.

Key Responsibilities:
Accounts & Financial Management:

- Handle invoices, payments, and expense tracking, ensuring accurate and up-to-date financial records.
- Record daily financial transactions, including cash receipts, payments, and invoices.
- Reconcile bank statements by comparing company records with bank statements, identifying discrepancies, and ensuring accuracy.
- Prepare financial reports such as profit and loss statements, balance sheets, and cash flow statements to assist management in decision-making.
- Oversee accounts payable and receivable, ensuring timely payments to suppliers and follow-ups on outstanding invoices.
- Assist in budget preparation by gathering and analyzing financial data to estimate future revenue, expenses, and cash flow.
- Maintain organized financial records, including invoices, receipts, and supporting documents for easy retrieval.
- Ensure compliance with tax regulations, including preparing and submitting tax returns while staying updated on tax law changes.
- Provide support during financial audits, assisting in documentation and addressing queries from auditors.

Human Resources Support:

- Assist with recruitment, onboarding, employee documentation, and payroll processing.
- Support training initiatives for new hires and staff development.
- Maintain HR records and ensure compliance with company policies.

Supply Chain Coordination:

- Manage procurement, inventory tracking, and vendor relationships to ensure a smooth supply chain.
- Monitor stock levels and coordinate orders as needed.
- Assist in optimizing supply chain processes for efficiency.

Administrative & Office Management:

- Assign tasks to administrative staff and oversee workflow to meet deadlines.
- Maintain and troubleshoot office equipment such as computers and printers.
- Monitor office supplies inventory and place orders as required.
- Handle incoming calls and receptionist duties when necessary.
- Assist in implementing and monitoring company programs and initiatives.

Qualification:

- Strong multitasking and organizational skills.
- Proficiency in accounting software (Tally, QuickBooks, Zoho Books) and MS Office (Word, Excel, PowerPoint).
- Knowledge of financial record-keeping, budgeting, forecasting, tax compliance, and general ledger management.
- Ability to analyze and improve operational workflows for efficiency.
- Excellent communication and interpersonal skills to collaborate with different teams.
- Detail-oriented, with the ability to thrive in a fast-paced startup environment.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

**Job Types**: Full-time, Permanent

Pay: ₹25,000.00 - ₹35,000.00 per month
