We are a prominent importer, trader, and manufacturer specializing in rubber raw materials and products. Headquartered in Gurgaon, we operate across multiple facilities located in Ghaziabad, Gurgaon, and Bhiwadi.
**Functional Definition**
To provide a wide range of high-level administrative and general support duties of a responsible, confidential and complex nature to ensure the seamless implementation and consistent delivery of services provided by the Managing Director.
**Responsibilities/Tasks**
- Should always make crisp notes on recital of the MD at all times.
- To form a detailed process
- initiating a poka-yoke system for standard works.
- Manage and organize the MD’s schedule, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, SOPs, and other documents.
- Coordinate meetings, conferences, and events, including logistics, materials, and follow-up actions.
- Handle confidential and sensitive information with discretion and professionalism.
- Conduct research, gather data, and prepare summaries or reports as needed.
- Assist in personal tasks and errands, such as shopping, reservations, and household coordination.
- Provide general administrative support, including filing, scanning, and organizing documents (both electronic and paper).
- Accompany the MD to various destinations daily, including office, factory, and client/vendor locations.
- Act as a point of reference and coordinate and follow-up on the work of all staff members.
- Propose and implement new ideas and processes within the organization.
- Take efficient notes on all details (Minutes of Meeting) and report it via proper channel.
- Take ownership of all inquiries, resolving, escalating, or identifying alternative contacts as appropriate, and proactively managing all correspondence and meeting actions.
**Qualifications and Requirements**
- Degree
- MBA or a related field preferred.
- Proven experience as a Personal Secretary or in a similar administrative role (more than 2 years).
- Grades in 10th, 12th, graduation, post-graduation
- should be above 65%.
- Strong proficiency in English - writing, speaking and reading.
- Tech-savvy and up-to-date with technology and IT.
- Excellent organizational and time management skills to manage schedules and priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Discretion, integrity, and professionalism in handling sensitive information.
- Ability to work independently and proactively manage tasks with mínimal supervision.
- Adaptability to changing priorities and willingness to take on diverse responsibilities.
- Strong problem-solving skills and attention to detail.
- Self-driven, self-motivated, and a fast learner.
- Reliable, proactive, and flexible.
- Ability to work under pressure, multitask, prioritize, and follow through on tasks to meet deadlines.

Pay: ₹30,000.00 - ₹40,000.00 per month
