The Front Office Guest Service Associate is responsible for welcoming and assisting guests, ensuring that all their needs are met in a friendly and efficient manner. This role involves managing guest check-ins and check-outs, providing information about the property and services, and resolving any issues or complaints promptly. The GSA works closely with other departments to ensure a seamless guest experience.

**Key Responsibilities**:

- **Guest Reception**:

- Greet guests upon arrival with a warm and professional demeanor.
- Handle check-ins and check-outs efficiently, ensuring all guest information is accurate and up-to-date.
- Provide guests with information about the hotel's facilities, services, and amenities.
- **Reservation Management**:

- Manage reservations by checking availability and making bookings for guests.
- Update and maintain guest reservations in the hotel's reservation system.
- Assist with room upgrades, special requests, and reservations for additional services.
- **Guest Assistance**:

- Respond to guest inquiries, requests, and complaints promptly and professionally.
- Ensure that guests' needs are met, including providing extra amenities, directions, or arranging transportation.
- Coordinate with housekeeping, maintenance, and other departments to address any guest needs or issues.
- **Billing and Payment Processing**:

- Accurately process guest payments and transactions, including room charges, incidental charges, and taxes.
- Provide guests with detailed invoices upon check-out.
- Handle cash, credit cards, and other forms of payment according to hotel policies.
- **Communication**:

- Maintain effective communication with all hotel departments to ensure smooth operations.
- Provide guests with information about local attractions, dining options, and events.
- Update guests on any changes to their reservations or hotel services.
- **Guest Feedback and Problem Resolution**:

- Actively listen to guest feedback and resolve any issues or complaints in a professional and timely manner.
- Ensure guests leave with a positive experience, striving to exceed their expectations.
- Follow up on guest complaints and feedback to ensure satisfaction.
- **Administrative Duties**:

- Maintain guest records and files, ensuring privacy and confidentiality.
- Prepare reports as needed for the front office manager and other departments.
- Assist with various administrative tasks such as updating guest information, creating reports, and managing room availability.
- **Team Collaboration**:

- Work closely with the front office team to ensure smooth operations during shifts.
- Assist colleagues as needed and contribute to a positive and cooperative team environment.
- **Health & Safety Compliance**:

- Ensure that all procedures are followed to comply with health and safety regulations.
- Maintain cleanliness and organization of the front desk and lobby areas.

**Skills and Qualifications**:

- **Education**: High school diploma or equivalent required; a degree or certification in hospitality management is preferred.
- **Experience**: Previous experience in a customer service role, preferably in the hospitality industry.
- **Communication Skills**: Excellent verbal and written communication skills; must be able to communicate clearly with guests and team members.
- **Customer Service**: Strong interpersonal skills with a focus on delivering exceptional service to guests.
- **Problem-Solving**: Ability to think quickly and resolve guest issues with a calm and professional approach.
- **Organizational Skills**: Strong organizational skills to manage multiple tasks efficiently.
- **Technology**: Proficiency in using hotel management software, reservation systems, and Microsoft Office Suite.
- **Attention to Detail**: High attention to detail, particularly in managing guest information and handling payments.
- **Languages**: Multilingual abilities are a plus, depending on the guest demographic.

**Working Conditions**:

- Full-time or part-time availability, including weekends, holidays, and night shifts.
- The position may require standing for long periods and lifting light items such as luggage.
- Work in a fast-paced and dynamic environment.
