Front Office Assistant

Key Responsibilities:
- **Customer Service**:
- Greet visitors, clients, or customers in a professional and friendly manner.
- Assisting with inquiries and resolving basic customer complaints or issues.
- **Reception Duties**:
- Managing the reception desk, ensuring that it is organized and welcoming.
- Scheduling appointments, meetings, or reservations.
- Maintaining visitor logs and ensuring security protocols are followed (e.g., visitor badges).
- **Communication**:
- Providing information to clients and customers regarding products, services, or processes.
- Communicating with various departments to relay messages, deliver information, or confirm appointments.
- **Administrative Support**:
- Handling basic office tasks such as filing, sorting mail, and keeping office supplies stocked.
- Data entry, processing forms, and updating records or databases.
- Assisting other departments as needed with clerical tasks or scheduling.
- **Handling Payments and Transactions (in certain industries)**:
- Managing cash or credit transactions.
- Processing payments, issuing receipts, or handling billing inquiries.
- **Maintaining Office Appearance**:
- Ensuring the front office area is tidy and presentable at all times.
- Organizing seating arrangements or displays in line with the company’s branding.
- **Problem-Solving**:
- Resolving customer issues or directing them to the appropriate department if necessary.
- Dealing with unexpected situations, such as delays, cancellations, or special requests.
- **Scheduling and Coordinating**:
- Organizing meetings or events, booking rooms, and coordinating schedules.
- Making travel arrangements or handling logistics for visiting guests or business partners.
