**Position Overview**:
**Key Responsibilities**:
- **Reception and Member Services**:
- Greet visitors and members with a friendly and professional demeanor.
- Assist new members with onboarding and provide them with all necessary information about the facilities.
- Manage member requests and provide excellent customer service.
- **Facility Management**:
- Ensure that the co-working space is clean, organized, and well-maintained at all times.
- Oversee the maintenance and setup of meeting rooms, ensuring they are equipped with the necessary technology and supplies.
- Coordinate repairs and maintenance services with external vendors and suppliers.
- **Administrative Support**:
- Handle all administrative tasks, including scheduling meetings, managing calendars, and organizing events.
- Maintain office supplies inventory and ensure timely replenishment of essential items.
- Prepare and process invoices for members, ensuring accurate billing records.
- Manage and update membership records and ensure that agreements and documentation are complete and accurate.
- **Community Engagement**:
- Support the planning and execution of community-building events, workshops, and networking opportunities.
- Foster a positive and collaborative environment by promoting member engagement.
- Address member feedback, concerns, and requests in a timely and professional manner.
- **Technology and Equipment Management**:
- Ensure that all technological equipment (printers, projectors, meeting room tech) is functional and troubleshoot minor issues.
- Assist members with basic IT troubleshooting or direct them to the appropriate resources.
- **Health and Safety Compliance**:
- Monitor health and safety standards within the workspace, ensuring compliance with company policies.
**Key Qualifications and Skills**:
- **Experience**:
- Proven experience as an office administrator, receptionist, or in a similar role, ideally within a co-working space or shared office environment.
- Experience in handling customer service or community engagement responsibilities is a plus.
- **Skills**:
- Excellent communication skills (verbal and written) with a professional, approachable demeanor.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Proficiency in office software (Microsoft Office, Google Suite, etc.) and basic knowledge of office equipment.
- Ability to work independently, take initiative, and handle tasks with mínimal supervision.
