This role will provide provide secretarial/administrative support to the UK Head of Employee Relations within the UK Employee Relations team. The role holder will exercise confidentiality, tact and diplomacy skills and will be able to manage complex diaries. The role holder will work closely with the UK Employee Relations team as well as the UK Head of Employee Realtions and will be required to provide administrative support to the Group ER team as necessary.

Tasks and responsibilities of the job holder include the following:

- Co-ordinating activities, events, resources, meetings, services and managing internal and external stakeholders for the UK Head of Employee Relations and the UK Employee relations team as needed.
- Document and shared files management - supporting maintenance, dissemination and storage of policy, template and guidance conten
- Record administration - maintaining records, information resources and data sources;
- Diary management and administrative support to the UK Head of Employee Relations including organisation of travel, accomodation, diary, expenses.
- Minute taking for regular and ad hoc ER team meetings;
- Development of the ER agenda - supporting projects and working groups including assisting with the execution of ER initiatives and activities in support of ER and wider HR team;
- Collating and managing ER-related MI.
- Industrial Relations activity - administration for regular and ad hoc meetings with employee representative groups, assisting with other administrative activities and queries relating to IR activity, employee representative bodies and employee reps;
- All other administrative duties including but not limited to IT requests, dealing with IT issues, audit and access control tasks, recruitment admin and other adhoc tasks including but not limited to finance related admin such as raising PO’s and processing invoices, also supporting Group ER if required.
- Responding to Data Subject Access Requests, fulfilling requests to open HR cases and track some HR case progress.
- Working with the ER Policy & Development Manager to complete administrative policy activity.

- Will work closely with the UK ER team and will provide support to the Group ER team on an ad hoc basis if required.
- Required to work collaboratively with other EAs within the HR function and outside the HR function to deliver services and positive customer experience.
Requirements

**What you will need to succeed in the role**:

- Previous ER / HR experience or exposure is desirable.
- Advanced IT/Microsoft Office skills essential - particularly Outlook, Excel, Word, and PowerPoint.
- Experience of undertaking administrative support activities is essential, including the production of accurate meeting minutes.
- Experience of working within a complex organizational structure and ability to successfully navigate that structure is essential.
- Strict adherence to the requirements of confidentiality. Discretion, confidentiality and integrity are essential.
- Excellent interpersonal, verbal, and written communication skills with experience of adapting your style and approach to the audience and message to be delivered.
- Ability to multi-task and prioritise work effectively - strong planning and organisational skills with excellent attention to detail and ability to work under pressure.
- Proven ability of using their initiative - proactive approach to work.
- Ability to work effectively with stakeholders at at all levels of seniority.
- A supportive team player.
- Punctual, reliable, and flexible.
