**JOB DESCRIPTION FOR THE ROLE OF OFFICE EXECUTIVE**
**Roles and Responsibilities**
1. **Infrastructure Maintenance**:
a) Regular maintenance of lift and generators, as well as preventive maintenance.
b) Maintenance of tank cleaning services and other plumbing works.
c) Overall maintenance of the building and other logistics like copiers, printers and so on.
2. Supervising the housekeeping staff.
3. Follow-ups on monthly payments, such as land line bill, electricity bills, and other housekeeping tasks.
4. **Office/admin work maintenance**:
a) Should be involved in the technical work, e.g., Computers’ software installation and hardware.
b) In case of any issue, such as internet, biometric, or technical, should be able to coordinate with the concerned team.
c) Updating the biometric on a daily basis.
5. Keeping all the office files up-to-date and producing them during the time of internal audits.
6. **SAP Material Management (MM) Tasks**
a. Creation of materials
b. Creation of vendor details in RVTA Plant
c. Preparing PR, RFQ, PO and SES and MIGO
d. Following up with the vendor for a quote
e. Taking SAP approval from RVTA HOI
f. Goods receipt and goods issue done through SAP
g. Purchasing of stationery items and SAP MM Process for payments and issue through done by SAP
7. **Finance/Accounts Related Tasks**:
a) Able to carry on bank related-tasks like Deposits, withdrawals, payments of TDS, collecting of TDS receipts clearance of cheques, and other bank-related activities.
b) Maintaining Receipts and Payments records/Bank records.
c) Maintaining Contingent expenses records on daily basis.
d) Verifying the bills received from vendors.
e) TDS Filing - quarterly.
f) Preparing the Cheques for signature and issuing them to the concerned vendor after payment release in SAP
g) Maintaining all the accounts related work.
h) Maintaining Audit related works.
8. Coordinate domain mail distribution for staff and institute
(As per HOI directives).
9. Complete assigned work while peers are on leave.
10. **Library Management**:
a) To issue library books to students and to confirm that the books have been returned or not.
b) Taking ownership of the library activities and issuing the books to students. Ensuring books are maintained in good condition.
11. Coordination with the facilities department and the engineering department as required.
12. Any miscellaneous work assigned by the HOI.
13. Co-ordinating with Academics and Administration team and working according to their suggestions.
15. Formatting of presentation materials including Word, Excel and PowerPoint.
**Skills and Qualifications**
- At least Bachelor's degree in Commerce/Accounting.
- 2 + years’ experience in SAP support and/or upgrade projects the following modules: MM, FI, CO and SuccessFactors
- Appreciated knowledge of the SAP Logistics part (SAP SD / SAP MM / SAP SD-MM): procurement, pricing, purchase orders, pricing schemes, basic transactions, flows, integration points
- Have developed very good interpersonal communication and user support management skills.
- Possess strong analytical, incident resolution and problem-solving skills
- Make quality decisions
- Good Communication in English
**Salary**: ₹20,000.00 - ₹25,000.00 per month
