Job Title: Front Office ExecutiveJob Summary:
The Front Office Executive serves as the first point of contact for clients, visitors, and guests, ensuring a warm welcome and efficient service. This role involves managing the reception area, handling administrative tasks, and providing support to various departments within the organization.

Key Responsibilities:

- **Reception Management**: Greet and welcome visitors in a professional and friendly manner. Manage the reception area, ensuring it is clean and well-maintained.
- **Visitor Coordination**: Maintain a visitor logbook, issue visitor badges, and direct guests to the appropriate person or department. Ensure visitor protocols are followed.
- **Telephone Operations**: Answer, screen, and forward incoming phone calls. Handle inquiries and provide information about the organization’s services and policies.
- **Mail and Package Handling**: Receive, sort, and distribute mail and packages. Coordinate courier services as needed.
- **Administrative Support**: Assist with administrative tasks such as data entry, filing, and document preparation. Provide support for scheduling meetings and managing calendars.
- **Customer Service**: Address and resolve customer queries and complaints promptly and professionally. Provide information and assistance to clients and visitors.
- **Security Coordination**: Monitor security systems and report any suspicious activities. Ensure adherence to security protocols for visitor access.
- **Inventory Management**: Maintain inventory of office supplies and order new supplies as needed. Ensure that the front office is stocked with necessary materials.
- **Collaboration**: Work closely with other departments to ensure smooth operations and effective communication. Support special projects and events as required.

Qualifications:

- **Education**: High school diploma or equivalent; additional certification in office management or administration is a plus.
- **Experience**: Minimum of 1-2 years of experience in a front office, receptionist, or customer service role.
- **Skills**:

- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and front office software (e.g., phone systems, CRM).
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Attention to detail and problem-solving skills.
- Professional appearance and demeanor.

Additional Requirements:

- **Availability**: Willingness to work flexible hours, including occasional weekends or holidays if necessary.
- **Physical Requirements**: Ability to stand or sit for extended periods and perform light physical tasks such as lifting packages.
