Job Title: Dispatch Incharge

Department: Dispatch

Job Purpose:

To manage and oversee dispatch operations, ensuring timely and accurate delivery of goods, proper documentation, billing, and system entries.
The role also involves coordinating with transporters, warehouse staff, and customers, while maintaining records in Tally and preparing ASN (Advance Shipping Notice).

Key Responsibilities:

Plan, organize, and monitor daily dispatch activities to ensure on-time delivery.
Prepare and verify dispatch documents such as invoices, e-way bills, delivery challans, and ASN.
Coordinate with the billing/accounts team to generate invoices in Tally and ensure accuracy in financial records.
Ensure proper stock management and reconciliation with dispatch records.
Maintain dispatch registers, MIS reports, and related documentation.
Liaise with transporters and track vehicle movement to ensure safe delivery.
Handle customer queries related to dispatch and resolve discrepancies.
Ensure compliance with GST, e-way bill, and company policies in dispatch operations.
Supervise the dispatch team/warehouse staff for smooth functioning.
Conduct periodic audits of dispatch records and stock movement.

Key Skills & Competencies:

Strong knowledge of Tally ERP for billing and stock entries.
Understanding of ASN (Advance Shipping Notice) process.
Familiarity with GST, e-way bills, and invoicing process.
Good coordination, communication, and negotiation skills.
Ability to manage multiple dispatch schedules under deadlines.
Attention to detail with strong record-keeping ability.
Leadership and team management skills.

Qualifications & Experience:

3–6 years of experience in dispatch/logistics with billing & tally knowledge.
