We are looking for a highly organized, professional, and proactive individual to be the Front Office Manager, serving as the first point of contact for our clients and ensuring the smooth operation of our daily office activities in our Chennai office. Summary of Position: The Front Office Manager and Office Administrator will be the face of AMS Legal, responsible for creating a welcoming environment while managing essential administrative, clerical, and logistical tasks. This role is crucial for maintaining efficient office operations, professional client relations, and effective document management. Key Responsibilities 1. Front Office Management and Client Relations * Greet and welcome clients and visitors professionally, ensuring a positive first impression. * Manage the main switchboard, screening and directing all incoming phone calls efficiently. * Handle all incoming and outgoing mail, couriers, and deliveries. * Manage the visitor register and control access to the office, adhering to security procedures. * Schedule and confirm meetings and appointments for staff, managing conference room bookings. 2. Office and General Administration * Manage general office supplies, including ordering, stocking, and inventory control. * Ensure the reception area and common spaces are tidy, presentable, and well-maintained. * Coordinate with vendors and service providers (e.g., IT support, cleaners) for necessary maintenance and repairs. * Assist with employee attendance tracking and reporting, using the designated system. * Handle basic accounting and invoicing tasks, such as processing expense reports and petty cash management. 3. File and Document Management * Implement and maintain an efficient file management system (both physical and electronic) for client matters, following firm protocol. * Accurately file, retrieve, and archive legal documents and client files in a timely manner. * Ensure the confidentiality and security of all client and firm documents. * Assist legal staff with preparing, binding, and photocopying documents as needed. 4. Client Management Support * Assist with the client intake process, including collecting initial information and preparing basic documentation. * Maintain accurate and up-to-date client contact information and databases. * Provide administrative support to legal staff on various tasks as requested, contributing to overall client service delivery. Qualifications and Skills * Proven experience (e.g., 2+ years) in a similar administrative, receptionist, or office management role, preferably within a law firm or professional services environment. * Exceptional fluency in the English language (both written and verbal) is mandatory. * Excellent written and verbal communication skills with a professional and articulate phone manner. * Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook). * High level of integrity and discretion for handling confidential information. * A proactive attitude and the ability to work independently and as part of a team. Education * Any Bachelor's Degree from a recognized university is required.
