Bid Qualification
Initiate Bid Qualification process.
See detailed bid qualification process and templates in appendix A
Fill up and publish the Bid Qualification framework. Get necessary inputs by Sales leader.
Bid Kick Off, Win Theme and Story Line creation
Bid Manager should read the RFP document, Create a summary of Client Objectives, Scope of Work involved, As-Is status, expected RFP response details and timelines.
Send an email with above information before the Bid Kick Off
Drive Win theme creation by working with Sales and Competency
Based on learning from other RFP responses, contribute to creation of Win Theme
Drive creation of Story Line for RFP response by working with Sales and Competency
Bid Manager is at an vantage point to bring to bear Story Lines from other comparable RFP responses across Sonata. Please do.
Adhere to and Drive compliance to defined RFP process meticulously
Follow guidelines of Large Deals set out by ELT
Ensure reviews by 2iB leaders happen every week. Ensure everything is NOT left for Samir’s review
List down the Questions that Samir has been asking in every Large Deal review. Share it with 2iB leaders.
Program Management
Ensure timelines are adhered
Involve all the necessary parties upfront. If there is no participation from stake holders, bubble it up.
When there are delays from stake holders escalate without hesitation
Need to avoid last minute rush to complete response
Quality of RFP Response
Bid Manager is NOT a coordinator. This role Owns quality of RFP response.
Conduct first round of review of RFP response to check:
if it aligns to Win Theme
if the Answers given by bid team are relevant to the questions asked
You are empowered to ask for Right Architect and DM for the Bid team. Bubble it up to 2iB leader or head of Bid management team if there is an issue.
Contribute to Content writing and Review
Standard content about organization and competency to be owned by Bid Manager
Review for the grammar and specific type of English
Review for relevance of the response
Content Reuse : Collating, Organizing and Using in RFPs
Collate and Organize Reusable content for the Geo / Vertical / Type of Project you are responsible for
Type of Content : Case Studies, RFP Responses, Defense Story Lines, Client referrals
Ensure there is high reuse of content in RFP response. We should aim to measure this.
Ensure Fast Turn Around
Agility is very important as deals have hard timelines and we are working in competitive environment. Hence, Bid Manager needs to ensure there is fast turn around right from organizing Bid Kick off to response creation.
Capture Learning from Wins and Losses
Set up retrospective for every deal that is run by Bid Management team.
