Position Overview:
We are seeking a highly organized and efficient Office Administrator to join our team at our head office. This is an on-site position. The ideal candidate will have excellent English fluency (written and verbal) and a strong ability to manage the day-to-day operations of our office. He/she will play a crucial role in ensuring the smooth functioning of our office and supporting our team.
Key Responsibilities:
- Manage day-to-day office operations, including maintaining office supplies, coordinating maintenance and repairs, and ensuring a clean and organized work environment.
- Serve as the first point of contact for visitors and clients, providing a warm and professional welcome.
- Handle all incoming and outgoing correspondence, including phone calls, emails, and mail, ensuring timely and accurate communication.
- Maintain and update office records, files, and databases, ensuring confidentiality and easy retrieval of information.
- Coordinate and schedule meetings, appointments, and travel arrangements for team members.
- Assist in the preparation of reports, presentations, and other documents as needed.
- Support the HR department with recruitment processes, onboarding of new employees, and maintaining employee records.
- Manage office budgets and expenses, ensuring cost-effective solutions and timely processing of invoices.
- Coordinate and organize company events, meetings, and training sessions.
- Liaise with vendors, service providers, and other external partners to ensure smooth operations.
- Perform other administrative duties as assigned to support the team and enhance office efficiency.
Qualifications:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Minimum of 1 years of experience in office administration or a similar role.
- Fluency in English (written and verbal) is a must.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent organizational and time-management skills with a strong attention to detail.
- Strong interpersonal and communication skills with a professional demeanor.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Discretion and confidentiality in handling sensitive information.
- Proactive and self-motivated with a positive attitude.
