Job Summary

We are seeking a highly organized and efficient Executive Assistant to provide administrative support to our Director. This is an on-site position that requires excellent English fluency (written and verbal) and strong organizational skills.

The ideal candidate will have:

  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize tasks in a fast-paced environment
  • Proficiency in Microsoft Office Suite and office management software
  • Discretion and confidentiality in handling sensitive information
  • A proactive and self-motivated attitude

Key Responsibilities

This role involves managing day-to-day office operations, including maintaining office supplies, coordinating maintenance and repairs, and ensuring a clean and organized work environment.

Serving as the first point of contact for visitors and clients, providing a warm and professional welcome.

Handling all incoming and outgoing correspondence, including phone calls, emails, and mail, ensuring timely and accurate communication.

Maintaining and updating office records, files, and databases, ensuring confidentiality and easy retrieval of information.

Coordinating and scheduling meetings, appointments, and travel arrangements for team members.

Assisting in the preparation of reports, presentations, and other documents as needed.

Supporting the HR department with recruitment processes, onboarding of new employees, and maintaining employee records.

Managing office budgets and expenses, ensuring cost-effective solutions and timely processing of invoices.

Coordinating and organizing company events, meetings, and training sessions.

Liaising with vendors, service providers, and other external partners to ensure smooth operations.

Performing other administrative duties as assigned to support the team and enhance office efficiency.
