Expense Management Specialist Role Overview

As a key player in our team, you will be responsible for ensuring the seamless execution of pre-payroll activities.

This role involves thorough assessments of timesheets and expenses received, with a focus on accuracy and completeness. You will work closely with sales/contractors to resolve discrepancies and ensure timely approvals from clients and communication with payroll teams as per required filing conventions.

Key Responsibilities:
  • Review timesheets and expenses for completeness, accuracy, and adherence to client-specific guidelines.
  • Verify expense sheets and receipts to ensure accurate amount tallies.
  • Communicate directly with contractors or sales teams regarding discrepancies in expense sheets and receipts submitted.
  • Manage payroll-related queries by analyzing data and preparing detailed overviews of issues.
  • Process emails received in shared inboxes in accordance with deadlines and urgency levels, responding within at least 24 hours.
  • Ensure expense sheets and receipts are saved according to Payroll teams' filing conventions and seek approvals from clients/managers without impacting turnaround times.
  • Work in line with payroll schedules to prevent delays in payments.
  • Perform other tasks and responsibilities assigned by managers.
  • Continuously identify opportunities to streamline and improve efficiency of timesheet and expense review processes.
