Job Role:
We are seeking a highly organized and dynamic professional to fill the role of Executive Support Specialist. The ideal candidate will excel in a fast-paced environment, manage calendars, travel, projects, and process improvements efficiently.
Key Responsibilities:
- Calendar & Travel Management: Manage executives' calendars, schedule meetings, prioritize engagements, coordinate domestic and international travel, and anticipate scheduling conflicts.
- Project Coordination & Management: Track project timelines, deadlines, deliverables, coordinate cross-functional teams, and ensure smooth execution of initiatives.
- Minutes of Meeting & Documentation: Attend meetings, take detailed minutes, track action items, maintain organized records, and project documentation.
- Task & Deadline Tracking: Monitor ongoing tasks, send reminders, escalate delays, and ensure accountability for timely completion.
- Exploring Tools, Technology & Process Improvement: Identify, evaluate, implement tools, AI solutions, and technology to improve workflows and efficiency.
- Communication & Stakeholder Management: Act as a point of contact for internal teams, prepare concise updates and reports for executives.
Essential Skills and Qualifications:
- 3-5 years of experience in executive support, project coordination, or related roles.
- Strong organizational, multitasking, and time-management skills.
- Excellent attention to detail and ability to track multiple tasks simultaneously.
- Exceptional communication and interpersonal skills for cross-functional collaboration.
- Proficiency in project management tools (ClickUp, Trello, Notion) and Microsoft Office.
- Curious, tech-savvy, and proactive in exploring new tools and AI solutions for process improvement.
