Regional Operations Manager

The Regional Administrative Manager will be responsible for managing regional admin activities and operations. This includes defining scope and key results areas (KRAs) of team members, communicating with immediate management to develop strategic program and project goals, and monitoring and reporting key project activities.
Key Responsibilities- Complete ownership of managing regional admin activities/operation & admin team including setting priorities and ensuring timely completion of tasks
- Defining scope and KRAs of team members through effective performance planning and management
- Communicate and coordinate with immediate management to develop strategic program and project goals that align with business objectives
- Direct reporting to zonal admin head on day-to-day activities, incident management etc.
- Monitoring and reporting of key project activities, plans and progresses through regular status updates and progress reports
- Managing calls and discussions to ensure effective communication and issue resolution
- End-to-end exam day and non-exam day administrative activities management and team coordination
- Ensuring zero incidents on exam day related to admin services by identifying and mitigating potential risks
- Help in recruitment, training, and talent development of team members to enhance their skills and knowledge
- Define and deploy control and monitoring mechanisms for the admin team within the region to ensure compliance and efficiency
- Training and development of the admin team within the region to enhance their capabilities and performance
- Ensure standardizing of processes at all exam venues to maintain consistency and quality
- Regional vendor management; support zonal head in finalizing contracts and vendor invoices
- Publish regular dashboards on key performance parameters to zonal admin head and senior management as needed
- Central point of contact for all facility-related matters at the regional level including responding to queries and resolving issues
- Ensure SLA/SLC at exam venues through effective monitoring and reporting
- Governance over VIDZ/LISP partners, regular meetings, and closure of audit points
- Contract management including negotiation, execution, and renewal of contracts
- Support in shortlisting prospective partners/venues identified by city head based on defined parameters within the region
- Maintain and monitor legal compliances for all venues to ensure adherence to regulatory requirements
- Prepare and deploy contingency/BCP to minimize disruptions and ensure business continuity
- Surprise checks at exam venues to ensure compliance and identify areas for improvement
- Handle crisis situations effectively by implementing crisis management protocols and procedures
- Coordinate and manage with manpower agencies to ensure effective recruitment and deployment of resources
- Conduct audits of exam venues to ensure compliance and identify areas for improvement
