About the Role

We are seeking a detail-oriented and proactive specialist to manage day-to-day operations, ensuring smooth functioning.

This role requires strong organizational skills, vendor management, and the ability to support employees and leadership in maintaining efficiency across the workplace.

Key Responsibilities:

Operations Management:

  • Office Infrastructure and Supplies: Oversee office infrastructure, supplies, housekeeping, and security to maintain an efficient work environment.
  • Maintenance and Upkeep: Ensure timely maintenance of systems, equipment, and common areas to prevent disruptions.

Support Services:

  • Coordinate Operational Workflows: Coordinate operational workflows across departments for smooth execution and optimize business processes.
  • Process Documentation and Compliance: Assist in process documentation and compliance tracking to ensure adherence to company policies.
  • HR and Finance Support: Support HR and Finance teams in operational requirements when needed to facilitate seamless business operations.

Vendor and Procurement Management:

  • Manage Vendor Relationships: Manage relationships with vendors and service providers to negotiate contracts and ensure timely payments/documentation.
  • Procurement and Logistics: Handle procurement of supplies, IT equipment, and services within budget to meet business needs.

Employee Onboarding and Support:

  • Onboarding and Travel Support: Facilitate onboarding logistics (system allocation, etc.) and support employee travel and meeting arrangements.
  • Administrative Support: Act as the point of contact for employee administrative queries and provide prompt support.

Events and Engagement:

  • Event Coordination: Coordinate logistics for company meetings, workshops, and offsites, including catering and facilities arrangements.

Key Skills & Competencies:

  • Organizational and Multitasking Ability: Possess strong organizational and multitasking ability to handle multiple tasks simultaneously.
  • Excellent Communication Skills: Demonstrate excellent communication and vendor management skills to build strong relationships with internal and external stakeholders.
  • Technical Proficiency: Be proficient in MS Office to perform administrative tasks efficiently.
  • Problem-Solving Mindset: Display a problem-solving mindset with attention to detail to resolve issues promptly.
  • Discretion and Confidentiality: Demonstrate the ability to handle confidential matters with discretion.

Qualifications:

  • Bachelor's Degree: Hold a Bachelor's degree in Business Administration, Management, or a related field.
  • Relevant Experience: Possess 3–5 years of experience in Administration/Operations, with a preference for experience in vendor management, office operations, or facility management.
