Job Title: Facilities Manager Lead

You will oversee the entire bouquet of property management services provided at the site. Your role will be to ensure smooth operations at the facility site by enhancing efficiency using innovation and technology.

Key Responsibilities:
  • Ensure that the team is equipped to face challenges by guiding, grooming, developing, and supporting them as needed.
  • Formulate suitable budgeting controls and monitor SLAs, KPIs for outsourced agencies towards effective service delivery.
  • Maintain service level agreements and keep performance indicator scores above excellence.
  • Ensure timely renewal of agreements, submission of invoices, and follow-ups for payments.
  • Oversee all vendor quotations and invoices, ensure proper signoffs for attendance and all required details for cost sheet submission.
  • Ensure timely submission of client-approved cost sheets to the office and follow-up for invoices.
  • Ensure accuracy of billing information, manpower planning for the site, play a major role in their hiring process, etc.
Daily Site Rounds:

Conduct daily site rounds to ensure proper maintenance of all structures, building facilities, and services are carried out.

Teamwork and Communication:

Ensure proper teamwork for all facilities, assist the client SPOC in creating annual budgets for site operations and formulating strategies for effective management.

Risk Assessment and Compliance:

Review and ensure data, hard and soft copy, e-mails, client files are updated, deal with occupants' queries in verbal and written forms, ensure a robust complaint management process is in place and followed meticulously.

Business Continuity Plans:

Create business continuity plans, resolve emergency maintenance matters with urgency, maintain an exemplary relationship management with projects, consultants, contractors, government authorities, statutory agencies for ease and smooth operations and maintenance of the property.

Reporting:

Create and submit daily management reports (DMR) and monthly management reports (MMR), coordinate and maintain as-built drawings and transition document libraries.

This position requires strong leadership and communication skills to manage a team of professionals responsible for the day-to-day operations of the facility. The ideal candidate should have excellent problem-solving skills, attention to detail, and the ability to work effectively under pressure.

The successful candidate will have a proven track record of delivering results in a similar role and possess excellent organizational, time management, and prioritization skills. They should also have a strong understanding of industry best practices and regulatory requirements.
