Job Title: Hardware Asset ManagerWe are seeking a highly organized and detail-oriented individual to fill the role of Hardware Asset Manager. In this position, you will be responsible for overseeing the administration of IT hardware assets within our organization.About the Role:The successful candidate will be responsible for maintaining accurate records and databases containing information regarding budget expenses, warranties, and service agreements for our IT assets and services. This includes processing invoices for hardware and minimizing organizational costs through standardization and tracking.Responsibilities:
  • Process IT invoices in a timely and efficient manner.
  • Oversee the end-to-end purchase process, including requisitions, RFQs, comparative analysis, technical specifications, cost estimates, negotiations, purchasing, forecasting, and tracking.
  • Liaise with internal and external stakeholders (Suppliers) to process and manage requisitions of quality products and services in a timely and cost-effective manner.
  • Manage finance audit-related queries, including physical asset verification, purchases, and audits.
  • Track and renew hardware and IT services maintenance agreements and warranties.
  • Respond to finance-related queries regarding IT invoices.
  • Ensure timely payments to IT Suppliers and proper documentation of all shipments and commercial invoices.
  • Anticipate and ensure timely submission of IT provisions to finance.
  • Facilitate internal audits on IT assets and services.
  • Maintain a tracker of all IT budget and related expenses with detailed working.
  • Provide support in contract and vendor management.
  • Play a significant role in implementing change control processes.
  • Oversee and report weekly, monthly, quarterly, and annual metrics.
  • Stay up-to-date on industry regulations, trends, and technology.
  • Work closely with the management team to ensure operational, administrative, and compliance functions within the firm are properly executed according to regulatory best practices.
Technical Experience:In this role, you will need to possess the following technical skills and qualifications:
  • Proven track record of IT inventory management.
  • Excellent skills in Microsoft Excel and accounting.
  • Problem-solving skills with a focus on cost reduction in the best interest of the organization.
  • Strong communication skills, both oral and written.
  • Ability to organize and manage multiple priorities and/or projects using appropriate methodologies and tools.
  • Ability to work under pressure and with minimal supervision.
  • Experience in managing teams and their performance.
