Reservations Coordinator

We are seeking a highly skilled Reservations Coordinator to join our team. As a key member of the hospitality team, you will be responsible for establishing and maintaining a comprehensive reservations process across multiple channels.

Your primary focus will be on managing bookings, handling guest communication, and ensuring accurate data entry into property management systems (PMS) and online travel agency (OTA) extranets.

You will work closely with property managers to verify property listings, update rates, availability, and content, and create standard operating procedures (SOPs), email templates, and booking process documents.

A strong understanding of OTA extranets, PMS, and rate management is essential, as well as excellent communication skills in English and proficiency in Microsoft Excel, Google Sheets, and email drafting.

The ideal candidate will have at least 3 years of experience in reservations or front office in hospitality and a degree or diploma in hotel management.

Beyond technical skills, you must be detail-oriented, proactive, and willing to learn in a fast-paced start-up environment.

Key Responsibilities:
  • Manage reservations across online travel agencies (OTAs), direct bookings, and offline platforms
  • Handle guest communication via phone calls, emails, and WhatsApp
  • Maintain accurate data on property management systems (PMS) and OTA extranets
  • Verify property listings and ensure up-to-date rates, availability, and content
  • Create SOPs, email templates, and booking process documents
  • Review guest interactions for tone and accuracy and coordinate with property managers for smooth check-ins and special requests
Requirements:
  • Degree/Diploma in Hotel Management
  • At least 3 years of experience in reservations/front office in hospitality
  • Strong understanding of OTA extranets (Booking.com, Agoda, Airbnb, etc.)
  • Understanding of PMS (Property Management Systems) and rate management
  • Excellent communication skills (English; other languages a plus)
  • Proficient in MS Excel, Google Sheets, and email drafting
  • Detail-oriented, proactive, and willing to learn in a start-up environment
