Role Description:

This role encompasses Payroll and related Statutory compliances, Oracle Updates and Maintenance, and HR Operations day-to-day activities. The ideal candidate will possess a strong background in HR operations and a proven ability to manage complex projects, optimize processes, and drive excellence in HR Operations. This role will be based in Bangalore, India.

The People Services Specialist will report to the People Services Director.

Key Responsibilities:
  1. Ensure payroll is always compliant with current legislation across all aspects of payroll, including but not limited to maintaining payroll controls, internal audits, monitoring compliance with payroll legislation and Company requirements.
  2. Provide proactive and expert advice to the company for all uncommon or difficult payroll scenarios as well as address any escalated payroll queries.
  3. Ensure the company conforms with all statutory reporting and payment requirements, including taxation and gratuity.
  4. Perform robust End of Month and End of Year reconciliations and reporting, including those for Annualised Salaries obligations.
  5. Liaise with internal and external auditors providing information as and when required.
  6. Review and identify processes and practices that can be streamlined or automated in the transactional environment and project manage the implementation of these.
  7. In collaboration with the global HR team, lead and manage payroll process improvements and projects including but not limited to software and system implementations and upgrades.
  8. Drive transparency and awareness of potential risks and implement appropriate safeguards to protect the company from legislative issues and errors, including but not limited to Casual Compliance.
  9. Maintain quality control across all payroll processes and ensure adequate and accurate record-keeping is in place.
  10. Build and maintain effective network links and relationships with key internal (e.g. HR and Finance) and external stakeholders (payroll, compliance vendors) to achieve mutually beneficial outcomes.
  11. Ensure there is appropriate backup and cross-training to allow for absences of the Regional Payroll Manager.
  12. Act as the point of contact for Oracle HRIS updates and maintenance.
  13. Coordinate with Oracle support teams to manage system upgrades and resolve technical issues.
  14. Manage regular updates on new hire compensation using the HCM spreadsheet data loader tool.
  15. Conduct audits on various aspects such as job codes, department changes, etc., ensuring data integrity and compliance with organizational standards.
  16. Develop, maintain, and distribute reports and dashboards to support business operations and decision-making. Create customized reports based on stakeholder requirements.
  17. Collect and analyze data from various sources to identify trends, patterns, and insights.
  18. Work closely with different departments to understand their reporting and analytics needs.
  19. Engage in Continuing Professional Development (CPD).
  20. Perform other duties and responsibilities as required from time to time by your manager or Arcadis.
Qualifications & Experience:
  1. Demonstrated 10+ years past experience, preferably in a professional services environment.
  2. Expert and in-depth knowledge of the payroll function and understanding of legislation relating to payroll.
  3. Experience in Oracle HRIS and payroll.
  4. Good understanding of technology relating to payroll systems.
  5. Demonstrated accuracy and high attention to detail.
  6. Excellent communication skills & relationship building skills.
  7. Demonstrated an ability to manage a payroll function and direct reports.
  8. Strong knowledge of Oracle HRIS systems and experience with system updates and maintenance.
