Summary of the Role:

As an executive assistant to the HR Director and GCC Leader, you will provide high-level administrative support for day-to-day matters, including program management, MIS, and engagement events. You will be responsible for aligning global and local projects to be executed in India.


Responsibilities / Accountabilities:

Administrative Support:

  • Ensure guidance and support are provided to the HR office for travel-related arrangements and hosting official delegates/partner meetings with the HR Director/GCC leader.
  • Schedule meetings, including leadership team meetings, employee communication meetings, business reviews, and anchoring events.
  • Manage or guide reception duties or travel-related duties through the team.


Program Management/MIS/Governance Support:

  • Directly communicate with stakeholders accountable for projects/strategic initiatives driven by the HR Directors office.
  • Manage governance and ensure stakeholders/team leads are held accountable for timely submissions.
  • Manage all relevant HR documentation signatures for IMEA.
  • Develop and maintain top-level review mechanisms and ensure periodic reviews and follow-ups are conducted.
  • Prepare analytics required by the HR Director directly and keep them ready for critical meetings and decisions.
  • Prepare presentations, town hall presentations, communication meetings, etc., required from the MD's office with appropriate inputs from stakeholders.
  • Maintain MIS as per the guidelines of the HR Director.
  • Ensure all costs pertaining to the HR Director's cost center are raised and managed and kept track of.
  • Collaborate with business teams like product/sales/marketing and work with them and the HR Directors office to remove hindrances or bottlenecks that impact the outcome.


Events for the GCC Leader and HR Directors Office and Employees Pan India:

  • Manage end-to-end aspects for business in terms of events, seminars, conferences, etc., with support from business.
  • Support the business team to drive large-scale employee engagement activities.

Requirements:

  • Post-graduation or MBA in Business Analytics & Administration.
  • 7-8 years as a Senior Executive Assistant. Exposure in administration in an MNC will be an added advantage.
  • Proficiency in operating Advanced MS Office.
  • Process and system-oriented.
  • Excellent verbal and written communication skills.
  • Problem-solving ability.
  • Good at coordination.
