
Site Operations Manager

This role entails overseeing housekeeping services and teams at site.
Responsibilities:- Inspecting work performed to meet specifications and established standards ensuring high quality outputs.
- Maintaining upkeep of assignment tasks according to set standard operating procedures (SOPs).
- Planning, scheduling, and inspecting assigned work for subordinate supervisors and teams ensuring efficient operations.
- Conducting regular briefings for ground staff on key responsibilities and expectations.
- Ensuring discipline, proper attire, and etiquette in subordinate staff promoting a positive work environment.
- Vendor management, including regular meetings with vendors to resolve site-related issues.
- Implementing standard operating procedures at site to ensure smooth site operations enhancing productivity.
- Closing complaints about services and equipment taking corrective action when necessary.
- Maintaining required records of work hours, budgets, and other information ensuring accurate data.
- Conducting regular rounds to inspect and evaluate the physical condition of facilities identifying areas for improvement.
- Checking and maintaining equipment to ensure it is in working order preventing downtime.
- Briefing and de-briefing supervisory staff on key performance indicators and goals.
- Monitoring all cleaning activity to maintain premises in a best possible way and enhance equipment lifespan.
- Conducting training on regular basis for work policies and procedures ensuring staff are up-to-date.
- Maintaining inventory of consumable stock to ensure adequate supplies and equipment are available.
- Selecting and ordering new equipment, supplies, or furnishings to improve site operations.
- Preparing reports like DMR, MMR, QBR, and other related reports at site providing valuable insights.
- Recommending changes to improve services and increase operational efficiency streamlining processes.
- Performing financial tasks, such as estimating costs and preparing managing budgets ensuring fiscal responsibility.
- Planning and arranging for change in beautification of certain areas every quarterly and for festivals and events promoting a positive image.
- Receiving calls and emails from clients to close complaints and communicate actions taken to stakeholders in a poised and confident manner.
- Taking ownership of requests or complaints and ensuring they are handled effectively within timelines.
- Monitoring helpdesk and customer service executives on a regular basis ensuring excellent customer experience.
- Taking daily rounds of premises and reporting any lapses or observations to relevant team.
- Conducting timely Customer Feedback Surveys and sharing reports with client management.
- Cooperating, coordinating, and communicating with other departments to ensure good customer experience and sharing consolidated feedback reports with team for improvement of services.
- Helping to ensure that any complaint requests or emergencies are handled in an expeditious manner as per company policies and contacting proper authorities when needed.
- Being familiar with building operating procedures manual, Lost and found, timings, id card application, permission forms etc.
- Helping in activities like filing, checking and maintaining inventory records, DMR, MMR, club house reports etc.
- Managing and participating in events, parties, CSR activities, general maintenance, and guest handling.
- Acting as a secondary point of contact for all occupants in case of client escalation. Prepares and approves working schedule rostering for the helpdesk team as per operational requirements to maintain operate the property at an optimum level.
