We are currently seeking a seasoned Billing Operations Specialist with 3-6 years of experience in billing and accounting. The ideal candidate will possess a deep understanding of financial concepts and exceptional attention to detail.

About the Role
  • The primary responsibility of this position is to ensure the accuracy and timeliness of all client invoices, while also managing a high volume of tasks and providing excellent client service to project managers and other stakeholders.

This role requires strong analytical and problem-solving skills, as well as the ability to work effectively in a fast-paced environment.

Key Responsibilities
  1. Invoice Processing & Validation: You will validate contracts with our MIS (Management Information System) to determine proper invoicing, service requirements, and formats. You will be responsible for processing and issuing accurate project invoices and validating labor charges and taxes.
  2. Proactive Monitoring & Backlogs: Proactively monitor and track all purchase, sales, and service orders across the U.S. to ensure invoices are issued promptly. You'll also work with project managers to process any backlogs of unbilled invoices.
  3. Discrepancy Resolution & Quality Assurance: Analyze and resolve discrepancies with customers or project managers. You'll be responsible for quality assurance in the invoicing process, including verifying the accuracy of all invoice calculations.
  4. Process Improvement & Reporting: Recommend and implement billing solutions to maximize efficiency and accuracy. You'll manage a client-based invoicing log for daily workload prioritization and prepare month-end close reports.
  5. Coordination & Client Service: Coordinate and collaborate with local teams and project managers to provide exceptional client service and support.
Required Skills & Qualifications
  • Experience: 3-6 years of experience in billing and accounting.
  • Technical Skills: A strong understanding of accounting, billing, and financial concepts is required. Experience with billing software is preferred. Intermediate knowledge of Microsoft Office and Adobe Acrobat is also necessary.
  • Personal Attributes: Excellent communication, interpersonal, and analytical skills are essential for success in this role.
