Job Title: Contract Administrator

We are seeking a skilled and experienced Contract Administrator to join our team. The successful candidate will be responsible for managing the full procurement lifecycle for construction subcontracts, including sourcing and pre-qualification in line with project requirements.

About the Role:

The Contract Administrator will be responsible for managing the entire procurement process from start to finish. This includes developing bid packages, issuing RFPs, analyzing bids with stakeholders, and preparing recommendation reports for project management.

Key Responsibilities:
  • Procurement Lifecycle Management: Manage the full procurement lifecycle for construction subcontracts, including sourcing and pre-qualification in line with project requirements.
  • Bid Package Development: Develop and issue bid packages to suppliers, ensuring compliance with company and client procedures.
  • Bid Analysis: Analyze bids with stakeholders, identifying the best value for the project.
  • Recommendation Reports: Prepare recommendation reports for project management, outlining the preferred supplier for each subcontract.
  • Contract Administration: Draft letters of intent/award and develop subcontract agreements using standard terms and conditions, lead negotiations through final approval by senior management and the client.
  • Change Management: Administer change management, including entitlement evaluation, change-order negotiation, and ensuring best value for the project.
  • Financial Management: Prepare monthly progress payment certificates for subcontractors and coordinate with Accounts Payable to ensure timely payments.
Requirements:
  • Education: Bachelor's degree in Business Administration, Supply Chain Management, Engineering, or Contract Administration (or a closely related field).
  • Experience: 5+ years in contract administration, subcontract administration, or procurement roles, ideally on construction or engineering projects.
  • Skills: Excellent verbal and written communication skills in English; bilingual (French and English) considered an asset.
  • Aptitude: Proven ability to prioritize competing deadlines, goal-oriented, and accountable for deliverables.
