Job Role:

We are seeking an accomplished Timesheet Specialist to join our team. In this role, your primary responsibility will be to guarantee accurate and timely processing of timesheets for specific regions or clients.

Your Key Responsibilities:

  • Timesheet Review: You will thoroughly review timesheets submitted weekly, fortnightly, or monthly to ensure all entries are accurate and compliant with internal policies and client-specific requirements.
  • Data Verification: A critical part of your role is to double-check all data entries for inconsistencies or errors. You'll need to be vigilant in spotting discrepancies and ensuring that all payroll data is accurate before processing.
  • Error-Free Processing: You'll maintain flawless records by accurately saving timesheets and updating Excel trackers. This includes cross-verifying data and ensuring that all files are organized and up to date.
  • Special Instructions: You'll identify and communicate any special payroll instructions—such as adjustments, bonuses, or deductions—to the payroll team to ensure they are applied correctly during processing.
  • Invoice Preparation: You'll assist in preparing supporting documentation for client invoices, ensuring that all necessary timesheet and payroll data is available and correctly formatted for billing purposes.
  • Record Maintenance: You'll be responsible for updating and maintaining payroll records, ensuring they are complete, accurate, and stored securely for future reference and audits.
  • Confidentiality: Handling sensitive employee information is a key part of the role. You must maintain strict confidentiality and follow data protection protocols to safeguard payroll data.
  • Team Collaboration: You'll work closely with other team members to meet deadlines and support shared goals. Your collaboration will help ensure smooth payroll operations and a positive team environment.
  • Policy Adherence: You'll follow all internal policies and procedures related to payroll processing and will be encouraged to suggest improvements that enhance efficiency and accuracy.
  • Report Support: You'll support the Payroll Supervisor by preparing and updating various reports, such as payroll summaries, error logs, and compliance checklists, contributing to informed decision-making.
