
Office Operations Specialist

This is a highly rewarding opportunity to manage the administrative functions of our organization. As an Administrative Services Manager, you will be responsible for overseeing the efficient operation of our office facilities, ensuring that all services are provided in a timely and professional manner.
Key Responsibilities:- Oversee the management of outsourced contract services for housekeeping, pantry, reception, and other areas to ensure effective service delivery.
- Manage office stationery and utility items to ensure proper recording and utilization.
- Streamline office opening and closing arrangements, monitor office keys movements, and record to ensure the office is securely guarded at all times.
- Standardize, sufficiently stock, and implement issue systems for office stationery, pantry, and utility items.
- Monitor office lease to ensure it remains valid and fully operational at any point in time.
- Ensure all staff have good sitting places with sufficient furniture for smooth functioning.
- Maintain a clean and presentable workstation and common areas.
- Effectively manage the office pantry/cafeteria, ensuring all items are properly stocked and utilized.
- Assist in coordinating new office identification, renovation/refurbishment, and operationalization.
- Support office seating space modification and optimization.
- Maintain trouble-free utility services and make timely payments to service providers for water, electricity, telephone, data cards, internet, and other utilities.
- Assist in preparing annual budget forecasts.
- Plan and execute office renovations and repairs, as well as storage and record management.
- Arrange guest house and hotel accommodations for staff, visitors, and delegates in accordance with office policy and partner requirements.
