Job Summary:
We are seeking a highly organized and detail-oriented Operations Coordination Specialist to join our team. This role is ideal for individuals with strong administrative, coordination, and communication skills looking to work in a dynamic environment.
About the RoleThis position will be responsible for managing day-to-day office activities, ensuring operational efficiency, and maintaining accurate records. The successful candidate will have proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration platforms such as Google Drive, Microsoft Teams, and Zoom.
Key Responsibilities:- Office Administration: Manage correspondence, scheduling, and documentation; ensure adherence to administrative protocols; assist in bookkeeping tasks such as invoice processing, petty cash handling, and expense tracking; support payroll processing and maintain accurate attendance and financial records.
- Recruitment & Onboarding: Coordinate the complete recruitment process, including job postings, screening applications, and scheduling interviews; manage onboarding procedures for new employees, ensuring alignment with company policies; liaise with colleges and universities to coordinate internship programs, including candidate selection and orientation.
- Vendor & Stakeholder Management: Manage executive calendars and coordinate key meetings and performance reviews; draft and manage official correspondence on behalf of the executive team; ensure compliance with internal policies, reporting structures, and operational guidelines; prepare and submit regular reports on administrative and operational activities.
The ideal candidate will possess excellent organizational, multitasking, and time-management skills, as well as strong written and verbal communication skills in English. They will also be able to work independently and collaboratively with cross-functional teams.
