Administrative Support Role

We are seeking a dedicated and detail-oriented Administrative Support Specialist to join our team at Alignity Solutions. The ideal candidate will be responsible for performing a wide range of administrative tasks to support the smooth and efficient operation of our office. This role requires excellent organizational skills, communication abilities, and a proactive approach to problem-solving.

Key Responsibilities:
  • Provide general administrative support including handling phone calls, emails, scheduling, and filing.
  • Assist in managing office supplies and inventory, ensuring the office is well-stocked and organized.
  • Coordinate meetings, appointments, and travel arrangements for staff members.
  • Prepare and edit documents, reports, and presentations with accuracy and attention to detail.
  • Maintain and update office records, databases, and contact lists.
  • Assist in organizing company events, team activities, and other administrative projects.
  • Handle incoming and outgoing mail, ensuring timely distribution.
  • Support HR and finance teams with basic administrative tasks such as data entry, invoice processing, and document management.
  • Help maintain a positive and professional office environment.

Qualifications:
  • 24 years of experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.
  • Basic understanding of office equipment (printers, copiers, scanners) and troubleshooting.

Preferred Skills:
  • Experience with office management software (e.g. SAP, Salesforce).
  • Familiarity with travel coordination and scheduling tools.
  • Previous experience supporting HR or finance departments.

Education:
  • Bachelor's degree or equivalent work experience in a relevant field is preferred.
