Procurement Specialist

As a key member of our organization, you will play a crucial role in ensuring the timely and cost-effective procurement of materials and equipment.

The ideal candidate will have strong analytical and communication skills, as well as the ability to work independently and collaboratively with cross-functional teams. You will be responsible for managing multiple projects simultaneously, prioritizing tasks, and meeting deadlines while maintaining high-quality standards.

• Key Responsibilities:
• Issuing RFP/RFQ documents, inviting supplier bids, conducting comparison and evaluation, and negotiating contracts to ensure procurement meets operational requirements within stipulated time and budget.
• Collaborating with user departments to understand their needs and priorities, providing them with information and support to help them make informed decisions.
• Ensuring that procurement processes are compliant with relevant regulations and policies, and maintaining accurate records of all procurement activities.
• Coordinating with finance and accounts department for commercial negotiations, tax code generation, PO release, and payment issues.
• Providing regular progress updates and reporting on procurement performance to senior management.

To succeed in this role, you will need:

• A minimum of 5-6 years of experience in procurement, preferably in a similar industry or sector.
• Strong knowledge of procurement processes, principles, and best practices.
• Excellent analytical, problem-solving, and communication skills.
• Ability to work effectively in a fast-paced environment, prioritize tasks, and manage multiple projects simultaneously.
• Proficiency in file and documentation management, office administration, and overall management.

• Graduate/Postgraduate degree in any specialization.
• 10+ years of total experience, with at least 5-6 years in procurement.
• Strong communication and interpersonal skills.
• Proficient in MS Office, with excellent knowledge of Word, Excel, and PowerPoint.

• Understand the requirement of various user departments and follow standard process to send RFP/RFQ to mutually agreed vendors.
• Call vendors and relevant departments for fact-based negotiation after receiving Technical Evaluation Report and cost comparison.
• Process for internal approvals, pre-audits through MAG, and obtain final approval from Senior Management.
• Preparation of Contract Agreement (PO) based on mutually agreed terms and conditions with vendor.
• Help User Departments to follow up with vendors as and when required, ensuring timely completion of work as per PO/contract.

As a Procurement Specialist, you will work in a collaborative and dynamic environment, interacting with various departments such as IT, P&E, Security, Finance & Accounts, and FMS.
