Job Role

We are seeking a highly skilled Project Coordination Specialist to support the successful delivery of immersive XR projects.

Key Responsibilities:
  • Project Planning & Documentation:
    • Review and approve project scope, objectives, deliverables, and success metrics.
    • Approve project documentation including engineering storyboards, project plans, and technical reports.
    • Collaborate with Team Leads to develop timelines and adjust schedules as needed.
  • Resource Allocation:
    • Coordinate with departments to allocate resources effectively.
    • Monitor availability and utilization to ensure optimal deployment.
  • Risk Management:
    • Ensure adherence to internal processes, regulatory standards, and quality frameworks.
    • Maintain audit-ready documentation throughout the lifecycle.
  • Project Oversight:
    • Maintain and update a centralized Risk Register.
    • Identify, evaluate, and implement risk mitigation strategies.
    • Escalate critical concerns to stakeholders and ensure timely resolution.
  • Budgeting:
    • Support budget formulation with cross-functional teams.
    • Track expenditures, flag discrepancies, and recommend corrective actions.
  • Change Management:
    • Maintain logs of change requests and assess impact on scope/resources.
    • Drive internal approvals and update documentation accordingly.
  • Vendor Management:
    • Coordinate with vendors to manage deliverables and timelines.
    • Monitor SLA compliance and resolve vendor-related issues.
  • Task Coordination:
    • Assign tasks with clearly defined responsibilities.
    • Track progress and maintain accountability.
    • Provide regular updates to stakeholders.
  • Communication:
    • Maintain regular communication with stakeholders (teams, management).
    • Prepare and deliver project status reports with milestones, risks, and issues.
    • Facilitate meetings and document key discussions/decisions.
  • Quality Assurance:
    • Oversight reviews and approvals of deliverables.
    • Ensure outputs meet quality benchmarks and stakeholder expectations.
  • Engineering Storyboards & Oversight:
    • Develop and review technical storyboards for alignment with goals.
    • Train and mentor Project Engineers on documentation standards.
    • Supervise performance and delivery of the engineering team.
  • Continuous Improvement:
    • Promote a culture of collaboration and continuous learning.
    • Identify process improvement opportunities and implement best practices.
    • Support leadership in team motivation and conflict resolution.
