We are seeking a meticulous and organized Payroll Trainee to join our team. As a key member of our payroll department, you will be responsible for ensuring the accuracy and timeliness of timesheet processing for specific regions or clients.
Your primary responsibility will be to review and process timesheets on a weekly, fortnightly, or monthly basis, strictly following defined service level agreements (SLAs). You will need to verify hours worked, leave taken, and overtime to ensure all entries are accurate and compliant with internal policies and client-specific requirements.
You will also manage the payroll department's mailbox, ensuring timely responses to queries, organizing incoming timesheets and documents, and maintaining a clean and efficient communication flow.
A critical part of your role is to double-check all data entries for inconsistencies or errors, spotting discrepancies and ensuring that all payroll data is accurate before processing.
You will maintain flawless records by accurately saving timesheets and updating Excel trackers, cross-verifying data and ensuring that all files are organized and up to date.
You will identify and communicate any special payroll instructions—such as adjustments, bonuses, or deductions—to the payroll team to ensure they are applied correctly during processing.
You will assist in preparing supporting documentation for client invoices, ensuring that all necessary timesheet and payroll data is available and correctly formatted for billing purposes.
You will be responsible for updating and maintaining payroll records, ensuring they are complete, accurate, and stored securely for future reference and audits.
Handling sensitive employee information is a key part of the role. You must maintain strict confidentiality and follow data protection protocols to safeguard payroll data.
You will work closely with other team members to meet deadlines and support shared goals, contributing to smooth payroll operations and a positive team environment.
Required Skills and Qualifications- Experience: 1–2 years of experience in payroll processing or a similar corporate role, with a solid understanding of payroll cycles and administrative processes.
- Analytical Skills: Ability to analyze data, identify inconsistencies, and resolve issues efficiently. Strong problem-solving skills are essential for handling payroll discrepancies and ensuring accuracy.
- Attention to Detail: Precision is key in payroll. You must be meticulous in reviewing data, spotting errors, and ensuring that all records are accurate and compliant with regulations.
- Communication: Strong verbal and written communication skills are important for interacting with team members, responding to queries, and documenting processes clearly and professionally.
- Tech Savvy: Proficiency in Microsoft Excel is essential, including functions like VLOOKUP, pivot tables, and data validation. Familiarity with payroll software or ERP systems is a strong advantage.
- Team Player: You should be comfortable working in a collaborative environment, supporting colleagues, and contributing to a positive and productive team culture.
- Confidentiality: You must demonstrate integrity and discretion when handling sensitive payroll and employee information, ensuring compliance with data privacy standards.
