Job Summary:

The role of a Facilities & Office Operations Manager is crucial in ensuring the smooth functioning of our office environment. This includes managing vendors, utilities, and office supplies to maintain efficiency and productivity.

Key Responsibilities:
  • Ensure the upkeep of electricity, generators, UPS, water, air conditioning, ventilation, internet, CCTV, printers, fire safety, and other office utilities
  • Implement preventive maintenance, resolve quick breakdowns, and ensure vendor service level agreement compliance
  • Oversee housekeeping, pantry, stationery, front desk, security, and visitor management
  • Monitor hygiene, consumables, and office cleanliness standards
  • Coordinate new joiner onboarding with desk setup, ID/access cards, and basic kits
  • Manage exits, asset returns, access deactivation, and clearances
  • Track attendance, late entries, and exceptions
  • Maintain a reliable vendor bench, negotiate costs, track annual maintenance contracts, and monitor service quality
  • Coordinate lease agreements, office fit-outs, repairs, and landlord escalations
  • Verify bills, reconcile petty cash, maintain records for leases, insurance, licenses, and safety certificates
  • Keep NOCs, insurance, safety certificates, and first-aid kits up to date and audit-ready
  • Prepare monthly management information system reports: spend vs budget, incidents, vendor scorecards, service level agreement compliance, and risks/fixes
  • Track key performance indicators: utility uptime, hygiene audit scores, ticket closure times, and budget adherence
  • Ensure late-shift office readiness and provide on-call support for urgent issues

As a Facilities & Office Operations Manager, you will be responsible for ensuring the efficient operation of the office, including managing vendors, utilities, and office supplies. The successful candidate will have excellent negotiation, documentation, and Excel/email skills, as well as strong organizational and time-management abilities.
