Job Overview

The Software Asset Management Analyst will oversee the entire lifecycle of software assets, encompassing procurement, license management, compliance, renewals, and vendor coordination. This position requires a meticulous approach to ensure seamless operations.

Key Responsibilities:

  • Process software requests through digital portals.
  • Validate license availability and assign licenses via vendor platforms.
  • Initiate license harvesting or procurement when necessary.
  • Accurately record license assignments, usage, and compliance.
  • Contract & Renewal Management
  • Monitor contract expirations using dashboards.
  • Coordinate with legal and procurement for contract reviews and renewals.
  • Ensure active Ariba contracts before creating PR/POs.
  • Maintain documentation in Ariba and Remedy for audit readiness.
  • Procurement & Purchase Order (PO) Process
  • Create and manage Purchase Requisitions (PRs) and POs in SAP.
  • Collaborate with the Center of Excellence (COE) for PR processing.
  • Document all approvals.
  • Track PO status and update stakeholders accordingly.
  • Vendor & Communication Management
  • Use shared mailboxes for vendor interactions.
  • Tag communications to relevant Remedy tickets.
  • Coordinate with vendors for quotes, license keys, and order confirmations.
  • Software Deployment & Packaging
  • Coordinate with desktop engineering and local IT for software packaging and deployment.
  • Track deployment status and update Remedy tickets.
  • Manage add-ons and plugin deployments via Intune and Microsoft Entra.
  • Compliance & Audit
  • Regularly review license usage and reclaim unused licenses.
  • Document all actions for audit and compliance purposes.
  • Support internal and vendor audits by providing accurate license data.
  • Dashboard & Reporting
  • Maintain and update SAM dashboards for renewals and compliance tracking.
  • Export and format data from Remedy for dashboard imports.
  • Use dashboards for team coordination and audit visibility.
Requirements

A bachelor's degree in IT, Business, or related field is required.

3–6 years of experience in Software Asset Management or IT Procurement are necessary.

Proficiency in SAP, Ariba, Asana, Remedy, and Microsoft 365 Admin Center is essential.

Strong understanding of software licensing models and compliance is vital.

Experience with vendor portals and contract management systems is preferred.

Excellent documentation, communication, and stakeholder management skills are required.

Ability to work independently and collaboratively in a global team environment is necessary.

Preferred qualifications include ITIL Foundation or SAM certification, experience with Intune, Microsoft Entra, and Azure Cost Management, and familiarity with audit processes and legal contract review.
