Procurement Associate Job Description

The role of a procurement associate is multifaceted, requiring a blend of technical expertise and excellent communication skills.

  • Execute strategic procurement activities, including request creation, vendor sourcing, quotation analysis, and purchase order management to optimize business outcomes.
  • Collaborate with stakeholders to understand requirements and ensure timely procurement of goods and services that meet organizational needs.
  • Track order deliveries, verify invoices, and liaise with the finance team for payment processing to maintain smooth operations.
  • Develop and maintain accurate procurement records, vendor database, and ensure compliance with audit and documentation standards to minimize risks.
  • Support in preparing procurement reports, tracking PO lifecycle, and collecting feedback from users to improve processes.
  • Manage inventory of office supplies, marketing materials, and consumables to ensure optimal resource allocation.
  • Oversee asset movement, documentation, and support implementation of asset tracking tools to enhance operational efficiency.
Key Responsibilities:
  • Develop a comprehensive understanding of procurement policies, tools, and vendor ecosystem to drive informed decision-making.
  • Independently manage end-to-end procurement for routine categories, ensuring timely closure of requests and meeting business objectives.
  • Maintain 100% compliance with documentation and internal controls to protect organizational interests.
  • Oversee inventory of supplies and consumables, ensure timely replenishment, and support asset tagging and periodic physical verification to optimize resource utilization.
  • Act as a responsive coordinator for internal procurement needs, gather stakeholder feedback regularly, and propose process improvements to enhance operational effectiveness.
Qualifications:
  • Bachelor's degree in Commerce, Business Administration, or Supply Chain Management to provide a strong foundation for procurement roles.
  • Certification or coursework in Procurement, Supply Chain, or Inventory Management is a plus, indicating advanced knowledge and skills in these areas.
Experience:
  • 2-3 years of experience in procurement or supply chain operations within a mid to large-sized organization to develop practical skills and knowledge.
  • Proven track record in vendor sourcing, quotation analysis, purchase order management, and inventory tracking to demonstrate expertise and capabilities.
Key Skills & Competencies:
  • Strong knowledge of procurement lifecycle and inventory control practices to drive effective procurement strategies.
  • Proficient in MS Excel, Word, and procurement software to leverage technology for improved efficiency and accuracy.
  • Excellent negotiation, communication, and interpersonal skills to build strong relationships with stakeholders and vendors.
  • Organized, dependable, and detail-focused with a problem-solving attitude to drive results-oriented work.
