Project Coordinator - Event Execution

About the Role:

A project coordinator for event execution is a key team player who understands marketing and promotional strategies. We seek enthusiastic candidates with fresh ideas and the ability to manage multiple tasks simultaneously.

Key Responsibilities:
  • Gather essential event details from operations teams, including date, venue, expected attendance, and service preferences.
  • Identify potential events and organizers to enlist on the platform.
  • Negotiate optimal deals for vendors, including pricing, in collaboration with sales teams.
  • Coordinate all aspects of event execution, including venue selection, setup, staffing, inventory management, and logistics.
  • Liaise with vendors and suppliers to ensure timely delivery of event services.
  • Closely coordinate with departments to ensure timely fulfillment of organizer requirements and handling last-minute changes.
  • Identify and address operational challenges in collaboration with property staff and customers.
  • Maintain relationships with existing vendors and agencies, emphasizing innovation and quality.
  • Ensure high-quality client and customer service at events, including training staff on process and product knowledge, sales, and service techniques, and client interaction.
  • Undertake additional responsibilities as required to support overall business objectives.
  • Build long-term, value-based client relationships through successful event planning and execution.
  • Proactively identify and resolve bottlenecks to expedite event setup and execution.

Required Skills and Qualifications:

  • Bachelor's or Master's degree in hospitality.
  • Culinary experience preferred.
  • Proven relevant experience for at least 6 years.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Demonstrated ability to effectively interact with people of diverse backgrounds.
  • Service-oriented style with professional presentation skills.
  • Creative thinking and problem-solving skills, with the ability to adapt to changing circumstances.
  • Flexibility to work as per business requirements.
  • Entrepreneurial Business Acumen.
  • Excellent written and verbal communication skills.
