Job Title: Administrative Support Specialist

Role Overview:

The Administrative Support Specialist will provide operational support to visiting and resident faculty members, ensuring a seamless experience during PGP teaching.

Main Responsibilities:
  • Daily Administrative Tasks:
  • Assist visiting and resident faculty with daily tasks, including classroom setup, office arrangement, and visa logistics (30% time)
  • Travel Arrangements:
  • Coordinate travel arrangements, accommodation, food and beverage requirements, and welcome kits for visiting faculty (30% time)
  • Financial Management:
  • Ensure timely payment of honorarium invoices for visiting faculty and settlement of expenses (15% time)
  • Departmental Activities:
  • Raise purchase orders, process course-related expenditures, and maintain departmental activities (15% time)
  • Support Services:
  • Support stationery procurement, BAZ, graduation & placement, and other departmental activities (10% time)
Key Performance Indicators:
  • Blocking offices before arrival
  • Accommodation arrangement
  • Preparing welcome kits and emergency contact details
  • Planning trips and IT catalogues
  • Preparation of ID cards and door templates
  • Timely cash advance and document submission for FRRO
  • Coordination with F&B and housekeeping staff
  • Coordinating with LRC on required readings/materials
Required Skills and Qualifications:
  • Bachelor's degree in Technology or Computer Applications
  • Excellent communication and interpersonal skills
