Job Details

This is a key position within the organization, reporting directly to the senior leadership team. The administration executive will be responsible for ensuring seamless day-to-day operations and providing administrative support across various departments.

  • Key Responsibilities

The ideal candidate will have:

  • Manage office supplies, printing stocks, and place orders after negotiations.
  • Arrange travel and accommodations, booking and/or coordinating travel tickets – train, flights, and hotels as per the needs of the team and searching for suitable and safe hotel and travel options for the team in remote areas.
  • Coordinate and find vendors (food, vehicle, projector etc.) in different parts of the country to support program needs.
  • Negotiate the best rates for the organization, ensuring quality services.
  • Organize a filing system for important and confidential company documents.
  • Be available to answer queries by employees on travel updates.
  • Need to be available for last-minute bookings – at times on weekends.
  • Book meeting rooms as required.
  • Distribute and store correspondence (e.g. letters, emails, and packages).
  • Supervise, monitor, and guide junior staff.
  • Support other teams for day-to-day requirements.
  • Ensure venue/hall bookings in advance for quarterly/annual reviews, events such as picnics, annual days, outstation conferences etc.
  • Any other office and admin related work given from time to time.
Required Skills and Qualifications
  • Bachelor's degree with 5 to 6 years of relevant field preferred.
  • Proven experience as an Administrative Executive, travel desk, or similar role.
  • Proficient in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent organizational and multitasking abilities.
  • Negotiation skills.
  • A keen eye for detail.
  • Strong communication skills, both written and verbal.
  • Integrity and professionalism.
