Job Summary

The Executive Assistant plays a pivotal role in providing high-level administrative support to Senior Executives. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Administrative Support: Provides comprehensive support to senior executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and submitting expenses.
  • Communication: Serves as the primary point of contact between senior executives and internal/external stakeholders. Handles correspondence, emails, and phone calls with professionalism and discretion.
  • Event Planning: Plans, coordinates, and manages corporate events, conferences, and board meetings. Ensures successful execution by handling logistics, corporate gifting, and incentive trips.
  • Research and Analysis: Conducts research and provides insights on various topics as requested by senior executives. Compiles data and creates reports to support decision-making.
  • Meeting Coordination: Prepares agendas, takes minutes, and follows up on action items for meetings. Ensures senior executives are well-prepared for all engagements.
  • Project Management: Assists in the planning and execution of special projects and initiatives. Tracks progress and ensures deadlines are met.
  • Confidentiality: Maintains the highest level of confidentiality and discretion in handling sensitive information.
  • Travel: Open to traveling in short notice for business purposes.
Qualifications, Education, Knowledge, Experience
  • Bachelor's degree in business administration, communications, hospitality management, or hotel management or a related field is preferred.
  • A minimum of 6+ years of experience as an Executive Assistant or in a similar role supporting senior executives is required.
  • Strong organizational and time management skills are essential.
  • Excellent written and verbal communication abilities are necessary.
  • Proven experience in planning and managing regional events is beneficial.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is mandatory.
  • The ability to work independently and as part of a team is crucial.
  • A high level of professionalism and discretion is expected.
  • Strong problem-solving skills and attention to detail are vital.
