
Administrative Liaison

The role of an Executive Support Specialist is to provide high-level administrative support to executives and managers. This includes handling phone calls, scheduling appointments, managing calendars, and organizing files.
Additionally, the successful candidate will assist with basic bookkeeping duties, handle correspondence, make travel arrangements, and assist with meeting and event planning.
Excellent communication and interpersonal skills are essential for this role, as well as strong organization and multitasking abilities.
- Answering phones and directing them to the correct person or department
- Making appointments and keeping calendars for staff personnel
- Organizing and managing physical and electronic files
- Assisting with basic bookkeeping duties including invoicing and spending monitoring
- Handling incoming and outgoing correspondence
- Making travel arrangements and lodgings
- Assisting with meeting and event planning, including agenda creation and minute taking
- Performing general office chores like ordering supplies
- Maintaining the secrecy of sensitive information
As a highly organized and detail-oriented individual, you will be responsible for maintaining accurate records, ensuring confidentiality, and providing exceptional support to our team.
Requirements and Skills:Proven experience working in an administrative capacity is essential for this role.
- Proficient with Microsoft Office Suite and other office management tools
- Excellent communication and interpersonal abilities
- Strong organization and multitasking skills
- Ability to prioritize tasks and operate effectively under duress
- Flexibility and adaptability to shifting priorities and situations
