The position of Administrative Coordinator plays a vital role in ensuring seamless day-to-day operations within our organization.

The incumbent will be responsible for managing front desk operations, handling incoming calls, greeting guests, and providing administrative support to various departments.

  • Key Responsibilities:
  • 1. Front Desk Management
    • Welcoming and interacting with visitors and staff members in a friendly and professional manner.
    • Ensuring the reception area is well-maintained, clean, organized, and visually appealing.
  • 2. Call Handling
    • Responding to and directing incoming phone calls while providing basic information about the organization as needed.
    • Routing queries to relevant departments or providing detailed responses when possible.
  • 3. Visitor Management
    • Maintaining accurate visitor logs and distributing visitor passes accordingly.
    • Notifying relevant staff members regarding guest arrivals.
  • 4. Administrative Support
    • Handling correspondence via email, courier services, and postal mail.
    • Assisting in scheduling meetings and appointments.
    • Providing clerical assistance to HR and administrative teams with tasks such as data entry, document filing, and more.
  • 5. Coordination & Communication
    • Collaborating effectively with office staff to ensure smooth daily operations.
    • Supporting the coordination of company events and meetings as required.

Requirements and Qualifications

  • Graduate degree from any field.
  • Proven experience in similar roles like receptionist, front office representative, or other comparable positions.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Professional demeanor and attitude.
  • Strong organizational and multitasking abilities.
