
International Business Operations Coordinator

We are seeking a skilled Executive Support Professional to join our team in Mumbai.
Job OverviewThis role requires an individual with exceptional organizational and time management skills, as well as excellent communication abilities. The successful candidate will be responsible for providing comprehensive support to our Business Owner, managing complex schedules, handling confidential information, and acting as a key liaison between leadership and various stakeholders across our international operations.
The ideal candidate will have a Bachelor's degree or equivalent experience, 3-5 years of executive assistant experience, and excellent English communication skills (written and verbal). Proficiency in MS Office Suite, Google Workspace is also essential.
Responsibilities- Manage complex calendar scheduling across multiple time zones (UK, Ireland, India)
- Coordinate travel arrangements and logistics for business trips
- Handle confidential correspondence and communications
- Prepare reports, presentations, and business documents
- Manage filing systems and maintain organized records
- Coordinate with training centers across 9 locations
- Liaise with partner skin clinics and franchisees
- Support course development and content creation projects
- Assist with student inquiries and administrative matters
- Coordinate with UK and Ireland teams
- Support exhibition planning and execution
- Coordinate webinars and training sessions
- Manage lead follow-up processes
- Assist with marketing initiatives and content scheduling
- Screen and prioritize phone calls and emails
- Draft correspondence on behalf of leadership
- Coordinate meetings with internal teams and external partners
- Maintain professional relationships with key stakeholders
- Bachelor's degree or equivalent experience
- 3-5 years of executive assistant experience
- Excellent English communication skills (written and verbal)
- Proficiency in MS Office Suite, Google Workspace
- Strong organizational and time management skills
- Ability to handle confidential information with discretion
- Experience working in fast-paced, multi-location businesses
- Experience in education, training, or healthcare/beauty industry
- Knowledge of aesthetic therapy or medical training sector
- Familiarity with CRM systems and online learning platforms
- Previous experience supporting international business operations
- Proactive and anticipates needs
- Detail-oriented with strong problem-solving skills
