Job Title: Facilities & Office Admin Manager
Key Responsibilities:- Maintain a seamless work environment by managing office utilities, including electricity, DG, UPS, water, AC, ventilation, internet, CCTV, printers, and fire safety.
- Oversee preventive maintenance, quick breakdown resolution, and vendor SLA compliance to minimize downtime and optimize costs.
- Ensure that all office facilities are well-maintained.
- Maintain accurate records of maintenance schedules, vendor contracts, and compliance certificates.
- Oversee housekeeping, pantry, stationery, front desk, security, and visitor management to maintain a clean, safe, and comfortable working environment.
- Monitor and maintain high standards of hygiene, consumables, and office cleanliness.
- Negotiate and manage vendor contracts to optimize costs and service quality.
- Coordinate lease agreements, office fit-outs, repairs, and landlord escalations.
- Ensure that all necessary NOCs, insurance, safety certificates, and first-aid kits are up to date and audit-ready.
- Prepare monthly MIS reports, including spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes.
- Track and analyze KPIs, such as utility uptime, hygiene audit scores, ticket closure times, and budget adherence.
We are seeking a highly experienced Facilities & Office Admin Manager to join our team. The ideal candidate will have a minimum of 10 years of experience in facilities/office administration, with a proven track record of maintaining stable tenure and clean references.
The successful candidate will possess strong negotiation, documentation, and Excel/email skills, as well as the ability to handle confidential information and maintain a high level of professionalism.
