Job Description:We are seeking a detail-oriented and analytical Payroll Operations Assistant to ensure timely and precise paycheck processing. Your meticulous attention to detail will be pivotal in maintaining flawless records and adhering to internal policies and client-specific requirements.
About the Role:- Timesheet Review: Thoroughly examine weekly, fortnightly, or monthly timesheets for accuracy and compliance with company policies and client guidelines.
- Mailbox Management: Respond promptly to queries, organize incoming timesheets and documents, and maintain efficient communication flow.
- Data Accuracy: Double-check data entries for inconsistencies or errors, ensuring all payroll data is accurate before processing.
- Error-Free Processing: Maintain impeccable records by accurately saving timesheets and updating Excel trackers, cross-verifying data, and organizing files.
- Special Instructions: Identify and communicate special payroll instructions to the payroll team for correct application during processing.
- Invoice Support: Assist in preparing supporting documentation for client invoices, ensuring necessary timesheet and payroll data is available and correctly formatted.
- Record Maintenance: Update and maintain payroll records, ensuring they are complete, accurate, and stored securely for future reference and audits.
- Maintain confidentiality when handling sensitive employee information and adhere to data protection protocols.
- Collaborate with the team to meet deadlines and support shared goals, contributing to smooth payroll operations and a positive work environment.
- Follow all internal policies and procedures related to payroll processing, suggesting improvements that enhance efficiency and accuracy.
- Support the Payroll Supervisor by preparing and updating various reports, contributing to informed decision-making.
- 1-2 years of experience in payroll processing or a similar corporate role, with a solid understanding of payroll cycles and administrative processes.
- Strong analytical skills to analyze data, identify inconsistencies, and resolve issues efficiently.
- Attention to detail, with strong problem-solving skills to handle payroll discrepancies and ensure accuracy.
- Effective verbal and written communication skills for interacting with team members, responding to queries, and documenting processes clearly and professionally.
- Proficiency in Microsoft Excel, including functions like VLOOKUP, pivot tables, and data validation.
- Familiarity with payroll software or ERP systems is a significant advantage.
