Senior Operations Coordinator

We are seeking a highly skilled and detail-oriented Senior Operations Coordinator to provide exceptional administrative support to our Managing Director.
This role offers a unique opportunity to work closely with our leadership team and contribute significantly to the company's success.
Key Responsibilities- Administrative Support
- Manage the MD's calendar, scheduling meetings, appointments, and travel arrangements.
- Handle correspondence, prioritize communications, and prepare presentations, reports, and documents.
- Organize and maintain confidential files and records.
- Meeting Coordination
- Plan and organize meetings, preparing agendas, materials, and minutes.
- Ensure follow-up on action items and decisions from meetings.
- Act as the primary point of contact between the MD and internal/external stakeholders.
- Communication & Liaison
- Act as a gatekeeper and intermediary between the MD and other departments or external contacts.
- Screen and prioritize incoming communications, ensuring timely responses.
- Represent the MD in a professional manner during interactions with clients, stakeholders, and team members.
- Project Management
- Assist the MD in tracking and monitoring ongoing projects.
- Conduct research and provide insights to aid decision-making.
- Coordinate cross-functional teams to ensure project deadlines are met.
- Travel & Event Management
- Arrange complex travel itineraries, accommodations, and logistics.
- Plan and execute events, conferences, or company functions as required.
- General Office Management
- Oversee office supplies and equipment related to the MD's activities.
- Handle expense reports, reimbursements, and budget tracking for the MD.
- Assist in ad hoc administrative tasks to ensure the MD's efficiency.
- Exceptional Organizational Skills
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Strong Communication
- Excellent written and verbal communication skills.
- Discretion and Confidentiality
- Proven ability to handle sensitive information with utmost professionalism.
- Attention to Detail
- Meticulous in planning, reviewing documents, and organizing activities.
- Tech-Savvy
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and collaboration tools.
- Problem-Solving
- Quick thinking and the ability to resolve challenges independently.
- Interpersonal Skills
- Ability to build relationships with internal and external stakeholders.
- HR Knowledge
- Familiarity with HR processes, policies, and employment laws.
- Bachelor's degree in Business Administration, Communications, or a related field (preferred).
- Proven experience as an Executive Assistant, preferably supporting C-level executives.
- Experience in project coordination or office management is a plus.
- Knowledge of industry-specific practices and terminology (if applicable).
- Office-based with occasional travel as required.
- Flexibility to work extended hours when necessary.
Our company offers a competitive salary of $80,000 - $100,000 per annum, depending on experience, as well as opportunities for growth and development in a dynamic and supportive environment.
